Manager, Conference & Event Services


POSITION:                            Conference & Event Services Manager

CLASSIFICATION:              Exempt                                                                                                                                                                     

DEPARTMENT:                    Conference & Event Services Office 

REPORT TO:                         Conference & Event Services Senior Director

The Conference & Event Services Manager will provide professional expertise and direction in the planning and execution of high quality events and functions. The Manager will maintain highly professional standards in keeping with the image and reputation of the University. 


  • Bachelor’s degree

  • 3 to 5 years experience planning conferences and events

  • Supervisory experience in events field preferred

  • Ability to work independently as well as in a team

  • Work well in a fast-paced environment under deadline pressure

  • Willingness to work irregular hours including some evenings, weekends and holidays 


  • Enjoy working with internal/external customers and demonstrate excellent customer service skills

  • Possess excellent organizational skills

  • Detail oriented

  • Developed communication and interpersonal skills to deal in a positive, pleasant and professional manner with a variety of diverse individuals

  • Knowledge of planning high profile events for diverse and distinguished guests

  • Ability to formulate creative ideas, analyze, evaluate and negotiate details reflective of a successful event

  • Ability to listen carefully to understand, respond and problem-solve effectively to address concerns and interests of campus constituents, guests, vendors and others as needed 


  1. Monitor Conference & Event Services Administrative Assistant with scheduling events in Astra Scheduler to ensure space is accurately blocked for customer needs

  2. Obtain event information from customer and provide to Administrative Assistant to enter into Astra Scheduler

  3. Distribute conference and event information to operational departments in a timely manner

  4. Provide diagrams for difficult and out of the ordinary room configurations

  5. Offer creative ideas and suggestions to customers with special event requests

  6. Act as a liaisons between internal/external customers & the operating departments

  7. Oversee event set-up and day of activities to ensure successful event execution

  8. Ability to effectively prioritize and manage multiple assignments while meeting deadlines set by supervisor

  9. Anticipate the needs of each event/project and complete on schedule as assigned

  10. Demonstrate the ability to interact, establish, and maintain effective working relationships with diverse constituent groups including faculty, staff, students, alumni, university supporters, governmental, and other dignitaries, vendors and the public at large

  11. Work in a front-line position with frequent interruptions and changes

  12. Report any maintenance items to the Administrative Assistant

  13. Maintain files for all events including pertinent information for future reference

  14. Monitors budget and expenditures for assigned events, verify invoices and collect funds from university and non-university sponsored events

  15. Ability to lift, carry, push, and pull up to 25 pounds with or without accommodation

  16. Assist supervisor with special projects

  17. Perform other duties as required or assigned
