POSITION:  Assistant Director of Artistic Recruitment

DEPARTMENT:  Enrollment

REPORTS TO:  Director of Artistic Recruitment

PRIMARY FUNCTION:  Assist the director of artistic recruitment by conducting outreach and recruitment activities, including but not limited to, on and off-campus auditions and college fairs, interview and counsel prospective students and their families about the audition and admission process, participate in phone and email recruitment campaigns.  Manage technology for automated audition process, preparation of statistical enrollment reports, tracking audition results and email marketing for artistic recruit outreach.  Work in conjunction with the University Visit Coordinator to arrange appointments with prospective students with faculty as needed, assist in coordination and communication with faculty regarding recruitment activities and auditions, coordination of student apprentices, and other tasks as assigned by the director of artistic recruitment. 

QUALIFICATIONS/KNOWLEDGE/SKILLS/ABILITIES:

Bachelor’s degree and a minimum of two years higher education admissions experience, preferably in the performing arts; familiarity with recruitment and enrollment process; excellent oral and written communication skills and attention to detail; and a high degree of customer service skills with the ability to communicate and work with a diverse applicant pool; ability to multitask; proficiency in MS Office required and knowledge of Jenzabar (Salesforce) software and CRM systems a plus.

DUTIES AND RESPONSIBILTIES

  1. Assist with and conduct periodical recruitment events, including but not limited to, on and off-campus college fairs and auditions.
  2. Maintaining technology for automated audition process, preparation of statistical enrollment (weekly) reports, assist in the coordination with on and off-campus recruitment and audition events, prepare/ track audition results, email marketing for artistic recruit outreach and process online portfolio/audition submissions registrations and confirmations.
  3. Support ongoing projects as assigned by the director of artistic recruitment and delegated among recruitment staff. These assignments could include coordinating on and off-campus events such as open house, auditions, workshops, admitted student days, among others.
  4. Communicate with prospective students according to priorities, via telephone and email regarding admission and/or audition/interview status and document notes of these communications in JRM.
  5. Inform prospective students and their families about Point Park’s program offerings and admission process.
  6. Interview and counsel prospective students and their families about the audition and admission process.
  7. Liaison to various offices on campus and faculty.
  8. Participate in professional development activates and trainings pertaining to recruitment.
  9. Other duties as assigned by the director of artistic recruitment.

WORKING ENVIRONMENT:

-Regular exposure to favorable working conditions such as those found in normal office setting

-Job may require light lifting (1-20lbs) with no repetitive bending or stooping

-Frequent computer use

-Mobility within the office.  Ability to walk, sit, stand and climb stairs.  Ability to use hands and fingers, to handle office equipment, records and files.  Occasionally required to reach with arms and hands, and to stoop, kneel and crouch.  Vision abilities required by this job include the ability to read and discern written errors on paper and electronic documents.  Ability to talk and hear.
