POSITION:                           Academic Support Coordinator & Graduate Student Support Specialist

REPORTS TO:                     Dean – Rowland School of Business

WORK SCHEDULE:           Hybrid Eligible (3 days in office; 2 days remote)

REQUIREMENTS:              MBA or Bachelor’s degree and/or related work experience at an administrative level, preferably in higher education. Must have excellent interpersonal, writing, analytical and organizational skills; and proficiency with Microsoft Word, Excel, Outlook and PowerPoint. Must be able to prioritize work effectively; exercise tact and diplomacy in sensitive or difficult situations; and maintain confidentiality in student and personnel matters.

PRIMARY FUNCTION:     Provides high quality support for department chairs, program directors, full-time and part-time faculty, and the Rowland School of Business by managing the daily operations of the school’s academic departments (Business Analytics and Technology, Business Management, Community Engagement, Sports, Arts and Music Business Management and the RSB Accelerator.

DUTIES:

  • Develop and maintain a thorough understanding of University policies, procedures and educational technology/software such as Microsoft Office Suite, Jenzabar, PointWeb and FinishLine so as to advise faculty and staff or make referrals to other University departments.
  • Support and collaborate with other Rowland School of Business administrative staff on joint tasks and activities that may include faculty searches, training, evaluation and staff development, to ensure consistent, cohesive operations throughout the school.
  • Maintain strict confidentiality of student records and adhere to the requirements of FERPA as it applies to student records. Maintain and update student’s records on a continuing basis.
  • Review student lists on academic probation, dismissal, and course failures in collaboration with the department to resolve obstacles and maintain student goals for completion of degree. Responsible for notifying students in writing regarding probation and dismissal and assisting in creating an academic plan that will get them back on track for graduation.
  • Participates and assists in student recruitment and marketing efforts, such as by showcasing the School to prospective students at open houses.  When needed, meet with any prospective graduate student (both new and transfer) to answer any questions regarding departmental programs.
  • Participate in off-site advisement and registration of students at the corporate locations during the registration period of each semester.
  • Participate in University-wide and department recruitment and marketing efforts in conjunction with the Admissions, Marketing, and Public Relations Department to include. Review application folders for students who do not meet the initial requirements for acceptance; meet on a regular basis with the admissions counselors in the Graduate & Online Admissions Office to maintain open communication and assist as needed; handle and follow-up direct inquiries to department; attend open houses and other recruitment and marketing events throughout the year.
  • Assists the Director of the RSB Accelerator to help ensure that Point Park students and alumni have access to the necessary resources to develop entertainment-related businesses, while assisting the director in developing best practices for emerging entrepreneurs.
  • Perform special projects other related duties as assigned by the Dean to meet the goals of the departments and the Rowland School of Business.

 

Department Operations

  • Provide administrative support to the Rowland School of Business and Community Engagement as directed by department chairs, program directors and faculty.
  • Update and distribute undergraduate and graduate syllabi templates for all degree programs.
  • Manage collection and syllabi review to meet University and IACBE accreditation requirements.
  • Assist in the management of the collection of all necessary documents as it relates to IACBE accreditation requirements.
  • Manage RSB alumni newsletter; Distributed 2x/year
  • Ordering office supplies
  • Manage reservations for Michael P. Pitterich Sales and Innovation Center spaces and assist the RSB Accelerator Director

Course Support

  • In consultation with department chairs and guided by enrollment figures and course sequences for each degree program, schedule all undergraduate and graduate course offerings for the Rowland School of Business (Business Analytics and Technology, Business Management, Community Engagement, Sports, Arts, Entertainment & Music Business), including traditional classroom, online and off-site courses.
  • In consultation with department chairs and program directors, monitor course enrollments and make recommendations to the program directors regarding the cancellation, addition and over enrollment of courses.
  • Work with the department chairs and program directors to staff courses.
  • Maintain part-time faculty files, including resumes/CV’s, academic transcripts, references, instructor evaluations and correspondence.
  • Assist the Dean, department chairs, program directors with creating and updating degree requirements sheets, program sequences and other academic documents.
  • Handle data entry of all courses into Jenzabar, as well as the dissemination of e-mail offers to part-time faculty and staffing spreadsheets for contract preparation.
  • Proctor makeups during regular business hours for students missing exams for valid, instructor-approved reasons.
  • Refer student questions, issues and complaints regarding classes to faculty, program directors or department chairs, as appropriate.
  • Oversee classroom assignments in coordination with the Registrar’s Office
  • Post signs for cancelled classes.

Student Support and Graduate Student Advisement

  • When applicable, assist the University Advising Center and the Online Division with issues related to academic advising and paperwork that require department chair or program director approval.
  • Assists in organizing and implementing registration programs and advises graduate students during registration periods. Be visible and available to all graduate students to meet their needs and explain academic policies, registration, and the academic advising process.
  • Assists in basic student registration/advisement activities in registration areas not handled by on-line registration such as independent studies, internships, course substitutions, transfer course equivalencies, etc. Assist with all academic paperwork.
  • Aid graduate students in the development of an academic plan to ensure successful degree completion by assuring proper sequencing of courses. 
  • Complete degree audits for graduate students in conjunction with the Registrar’s office during the students last semester to confer degree.
  • Ensure academic advisor assignments in Jenzabar are updated every semester in support of academic departments.
  • Handle or refer student problems and complaints regarding classes to faculty or Chair, as appropriate.
  • Support department on student retention efforts, including working with the FinishLine software program and one on one student outreach. During the registration period, give weekly updates on progress of retention.
